What sets this product apart is not the company but the trip duration and the area. It is intended for employees who spend weeks to months at a stretch on a project, generally outside Europe, sometimes with family travelling with them. Think of installation and maintenance crews, engineers on a foreign building site and employees temporarily seconded to a foreign branch.

That kind of stay raises different questions from a two-day trip to a trade fair. Dutch health insurance and social security have to be arranged, evacuation and repatriation become real possibilities, and thought has to be given to medical care in places where there is no acceptable local alternative.

Travel insurance reimburses medical expenses as a supplement to your health insurance, not as a replacement for it. Winter sports and special sports are excluded as standard and require a separate module. A negative travel advisory from the Ministry of Foreign Affairs generally excludes cover for that area; report a claim as soon as reasonably possible (7:941 DCC).

What does your premium depend on?

  • Length of the posting. The number of months an employee spends on site at a stretch is decisive.
  • Country of destination and risk class. The availability of medical care and the security situation on the ground weigh heavily.
  • Nature of the work on site. Installation work, offshore work or work at height is assessed differently from office or advisory duties.
  • Accompanying family members. Insuring a partner and children changes both the premium and the acceptance questions.
  • Sections included. Evacuation, repatriation, personal accident and luggage are added section by section.
  • Number of employees posted abroad. A continuous contract for a fixed group is rated differently from individual postings per project.

Where things go wrong in practice

Four points that make the difference between a policy that pays out and one that does not.

The trip duration determines whether you have the right product

Every travel policy has a maximum consecutive trip duration. If an employee stays on site longer than that period, cover lapses for the part after it, even where the trip itself is entirely for business. Posting cover is designed for that and works in months rather than days. If a project is unexpectedly extended, report it before the period expires; arranging it afterwards is not possible.

Area, evacuation and travel advice

Worldwide cover does not mean cover everywhere. Areas subject to a negative travel advisory and loss caused by acts of war are excluded as standard. If you do want to work there, that has to be agreed and assessed separately in advance. Evacuation in the event of a natural disaster or political unrest is a separate section that you deliberately insure. Expect the insurer to impose requirements about reporting destinations before departure.

Health insurance and social security during secondment

With a long-term posting the Dutch insurance obligation may end or in fact continue, depending on the country and the social security position recorded. If the basic health insurance ends without anything taking its place, the supplementary effect of the travel cover falls away and the employee is effectively uninsured. Arrange this before departure and check whether accompanying family members are on the policy; as standard they are not.

This is not liability cover

Your duty of care as an employer (Article 7:658 of the Dutch Civil Code) and the requirements of good employment practice (Article 7:611 DCC) apply in full on a foreign project site. This policy provides for costs and benefits, but does not fend off a claim. You need liability cover for that. Tools and equipment taken along are not included either, and local motor vehicles are subject to the insurance obligation of the country itself.

When do I choose this instead of a continuous business travel policy?

As soon as employees are away for longer at a stretch than the maximum trip duration of an ordinary continuous policy, or work outside Europe on a regular basis. For short trips to customers and trade fairs within Europe, continuous cover is simpler and cheaper. If you have both patterns, a combination is possible; we look at which trips fall under which policy so that no gap arises.

Are accompanying family members insured?

Only if that has been arranged on the policy. As standard, business travel cover insures the employee who is posted. If the family goes along for the duration of the project, the partner and children have to be enrolled separately, with their own provisions for medical expenses and repatriation. Arrange this before departure; enrolling once they are on the way rarely works in practice without a period of being uninsured.

What if the destination becomes subject to a negative travel advisory while someone is already there?

Report it to the insurer straight away. New trips to such an area are generally excluded, but for someone already staying there transitional arrangements often exist, and it is precisely then that the evacuation section becomes relevant. Loss caused by acts of war remains excluded in all cases. Record the arrangements made in writing, so that there is no argument afterwards about when it was reported.

Are the tools my engineers take with them covered?

Personal luggage falls under the luggage section, but company tools, measuring equipment and materials do not, or only to a limited extent. For those items goods in transit or equipment insurance is the appropriate route, depending on whether they are in transit or on the project site. Have it recorded before departure which policy covers which element; this is a classic gap on foreign projects.
