In brief

An individual business travel insurance is in the name of one traveller. You choose between continuous cover, which applies to all business trips in a year, and short-term cover for one specific trip. Anyone who travels more than a few times a year is almost always cheaper off with a continuous policy and does not have to arrange anything per trip.

The content is the same as under a group contract: medical expenses as a supplement to your health insurance, repatriation through an emergency assistance centre, luggage and business equipment, and extraordinary costs where the trip is disrupted. Sections such as personal accident, legal expenses while travelling and cancellation are usually optional.

The misunderstanding that produces the most claims concerns the private travel insurance. That is written for holidays and often limits work to office and desk work. An engineer, photographer or installer working abroad falls outside it: and then not only the tools are uninsured, but possibly the accident as well. Four points that determine whether your loss on the road is paid for.

Work is not a holiday

A private continuous travel insurance sometimes covers business trips as well, but almost always limited to office and desk work. As soon as you carry out physical work (assembling, installing, filming with heavy equipment, building) that cover lapses. Business equipment is also rarely insured on it. Anyone who travels for work regularly therefore takes out separate business travel insurance instead of relying on the private policy.

Health insurance covers only part

The Dutch basic health insurance pays for care abroad up to the Dutch rate at most. In many countries the actual tariff is far above that, and repatriation is not paid for at all. The business travel policy makes good precisely that difference and calls in an emergency assistance centre that guarantees payment, so that you do not have to advance a deposit.

What is not included

Outside the cover are, among other things: travel to areas subject to a negative travel advice, costs arising from pre-existing medical conditions for which treatment during the trip was foreseeable, luggage left unattended and belongings left visible in a car, and loss during high-risk sports such as mountaineering, deep diving or speed competitions. Money, securities and trade goods also generally have no cover or very limited cover. Intent and recklessness fall under Article 7:952 of the Dutch Civil Code.

Call first, claim afterwards

A hospital admission, medical transport and an early return have to run in advance through the emergency assistance centre. If you arrange it yourself, part of the costs remains at your own expense. In the event of theft, a police report locally is almost always compulsory, and where a carrier is responsible, a written notification to the airline. Report a loss as soon as is reasonably possible (Article 7:941 of the Dutch Civil Code). What you stated at the start about your work falls under Article 7:928 of the Dutch Civil Code, with a reduction or refusal under Article 7:930 of the Dutch Civil Code if that is incorrect.

Continuous or short-term: which is wiser?

If you travel more than two or three times a year, a continuous policy is usually cheaper and certainly more practical: you do not have to arrange anything per trip and never forget to take out cover. For a single trip, for example attending a trade fair outside Europe, tailored short-term cover is the logical choice.

Do I need this as a self-employed professional?

If you travel for work, yes. Your private travel insurance often does not cover business activities, or covers only desk work, and business equipment usually falls outside it. What is more, without an employer there is nobody to continue paying your income if an accident on a trip puts you out of action for a long time; for that, also look at personal accident or disability cover.

Is my company laptop insured?

Usually it is, within the luggage section, but with a sub-limit that is often lower than the replacement value. Conditions apply in the event of theft: the device must not have been left unattended and must not have been visible in a vehicle. For expensive specialist equipment, separate electronics or equipment insurance is generally more suitable.

What is the maximum duration of one trip?

Almost every policy has a maximum uninterrupted trip duration. If that is exceeded, the cover stops, even though the contract continues. For longer postings or secondment, expatriate cover is needed. Check the period before a long project and always report an extension to the insurer in advance.

Does the cover apply if I add a few days' holiday?

Generally it does, provided those days follow on from the business trip and the total trip duration stays within the policy limits. A trip that is mainly a holiday with one business appointment added does not fall within it. If in doubt it is wiser to have the trip covered by a private travel insurance as well.
