The cover stands or falls by the order in which you act. Almost everything an insurer needs for a business travel claim has to be recorded during the trip: a police report in the country itself, a statement from the airline, an original medical report. Back in the Netherlands it can no longer be obtained.
Before departure there are four things: check whether the destination falls within the area of cover, report special activities such as climbing, diving or operating machinery, declare business equipment separately, and make sure every traveller has the number of the emergency assistance centre in their phone. Enrolling after the event is not possible.
If something goes wrong, Article 7:941 of the Dutch Civil Codeapplies: you report the event as soon as is reasonably possible and give full cooperation. If you call the emergency assistance centre before incurring costs, they arrange the payment guarantee directly with the hospital. See also the medical side and luggage on the road.

Four points that make the difference between a policy that pays out and one that does not.
Go through four points: does the destination fall within the area of cover on your policy schedule, have special activities been reported, has the equipment being taken been declared separately, and does every traveller have the emergency number with them. Add a copy of the policy schedule, digitally and on paper. This takes ten minutes and is precisely the information you can no longer gather once someone is lying in a foreign hospital.
Foreign hospitals often ask for a payment guarantee or a credit card in advance. If the traveller calls the emergency assistance centre first, it arranges the guarantee directly and assesses whether treatment on the spot or transport home is sensible. If he pays himself and only reports it after returning home, you have to demonstrate the necessity afterwards. In that case keep all original invoices and the medical report.
With theft there should be a report to the local police, with a copy. With missing hold luggage there should be a written notification to the carrier before you leave the airport. With illness there should be a statement from the treating doctor. These documents are the heart of the file. Without a police report an insurer refuses a theft claim in practice almost without exception.
Outside the cover are: consequential loss to your business because the assignment falls through, costs arising from intent or recklessness on the part of the traveller under Article 7:952 of the Dutch Civil Code, and damage you cause to someone else. A trip that had already begun when the policy started is not covered either: insurance can only be arranged in advance.
Insurers weigh these details differently. That is where your saving is.

No. Travel insurance only covers trips that begin on or after the start date. If you take out cover while you are on the way, the current trip is not covered, not even for the remaining days. This is the most common misconception with work trips booked at the last minute. So arrange the cover when you book.
Call the emergency assistance centre first, outside office hours too, and only then a hospital or carrier. They arrange the payment guarantee and transport. Then record the facts on the spot: a police report for theft, a written notification to the carrier for luggage damage, a doctor's statement for illness. Report the incident to us as well.
Article 7:941 of the Dutch Civil Code requires notification as soon as is reasonably possible. In reality that means: for a medical incident, immediately through the emergency assistance centre. For luggage or cancellation, within the period stated in your conditions. If you report late and the insurer's interests are harmed as a result, it can reduce the payment.
No, that depends on the form of contract. With short-term cover you insure the trip together with the travellers going on it. With a continuous policy the people or the defined group are stated on the policy schedule. With a new colleague, check whether he falls within that definition before he makes his first trip.
