In brief
Business travel insurance is built up from separate sections that you choose individually: assistance and medical expenses, luggage and business equipment, personal accident, cancellation, legal expenses and sometimes a module for the excess on a hire car. Only the first is standard on virtually every version. A quotation that looks cheaper is often a quotation with fewer sections; so never compare on price alone.
The second choice to make is continuous or per trip. You take out a short-term policy for each trip, with a fixed start and end date and therefore no cover for an unexpected extra journey. A continuous policy runs all year and has a maximum uninterrupted trip duration per trip. From a few trips a year onwards, continuous cover is usually more practical, if only because you no longer have to think about it before each trip.
The third point is concurrent insurance. If you already have a private continuous travel insurance, one loss can fall under two policies. An indemnity insurance does not pay out twice: Article 7:960 of the Dutch Civil Code provides that the payment must not put you in a better position. So the sub-limits of the two policies do not stack. When making a claim, always report that there is a second insurance. Get coveredWhat to look out for
Four parts of the policy where the cover turns out to be tight.
The sub-limit on business equipment
Luggage sections work with a total amount and within it with separate maximums per category: photographic and video equipment, computer equipment, phones, jewellery, money. A single professional camera or laptop soon exceeds such a category maximum. If your equipment is the heart of your work, separate cover on the items themselves is more realistic than stretching the travel policy.
Theft from a vehicle and leaving items unattended
The most common refusal concerns belongings taken from a parked car. Policies require signs of forced entry, storage out of sight and sometimes a time limit, and exclude theft from a convertible or estate car without a lockable boot altogether. Luggage left unattended in a lobby, on an exhibition floor or in a train is generally excluded as well.
What the personal accident section does and does not do
This section pays an amount fixed in advance in the event of death or permanent disability caused by an accident, that is to say by a sudden external cause. Illness, back complaints, a heart attack and burnout fall outside it, however serious. It is a fixed-sum insurance that does not replace income and does not move with your actual loss of turnover.
Obligations in the event of a claim
A report to the local police, a written notification to the carrier within its deadline, original proofs of purchase and a notification to the insurer as soon as you know of the loss: that last point follows from Article 7:941 of the Dutch Civil Code. If the supporting evidence is missing, a claim is hard to prove. Keep purchase receipts for equipment digitally, then you have them to hand while travelling as well.
What does your premium depend on?
- Sections chosen: each module has its own premium component
- Continuous or per trip: an annual premium against a rate per travel day
- Maximum length of each trip: longer uninterrupted trips cost more
- Sums insured per section: a higher luggage limit increases the premium
- Area of cover: from Europe to worldwide including North America
- Age of the insured: counts in the medical and personal accident sections
Insurers weigh these details differently. That is where your saving is.
What is covered
| Situation | Basic | Extended |
|---|---|---|
| After a fall you are admitted to hospital in Ankara and then flown home | Yes | Yes |
| You cancel the trip because your father has died | No | Yes |
| Your exhibition material comes off the baggage belt damaged | No | Provided that |
| After an accident on site you are left with permanent injury to your hand | No | Yes |
| The hire company withholds the excess after a scratch on the hire car | No | Provided that |
| A delayed flight makes you miss the first day of the trade fair and the turnover with it | No | No |
A cheaper quotation is usually a quotation with fewer sections. So compare line by line.
Frequently asked questions
This is what people ask us most.
Can I have an existing private policy apply to business travel?
Rarely without amendment. Private conditions usually describe the covered trip as a holiday or recreational trip and exclude business assets. Some insurers offer a business extension to an existing continuous policy. Have that confirmed in writing. An endorsement on the policy is the only thing that counts when there is a claim, a verbal assurance is not.
What is the difference from cancellation insurance?
Cancellation cover pays the costs of a trip that does not go ahead or is cut short, and has a closed list of causes. Business travel cover concerns what happens during the trip. The two do not overlap. If you want both, you choose cancellation as a module or take out a separate cancellation insurance.
Does the cover apply if I carry out physical work abroad?
That depends on the activity declared. Policies that assume commercial or advisory work often exclude injury during manual work in the course of your trade, or set additional conditions for it. If you are going to install, assemble or carry out maintenance, state that when you apply. Where the statement is incorrect, the insurer can rely on Article 7:930 of the Dutch Civil Code.
Is the loss of data on a stolen laptop insured?
No. Travel insurance pays for the item, that is the laptop, and not for the files on it or the cost of restoring them. If the device contains client data, there is also a possible data breach with a duty to report it. Those costs and the liability arising from them belong on a cyber insurance for self-employed professionals.
