In brief

As soon as more than the odd employee travels regularly, insuring trip by trip becomes unworkable. A collective business travel insurance solves that with continuous cover for a defined group: all employees, or a category such as directors, sales and service engineers. Anyone who falls within that definition is insured as soon as the trip begins, without prior enrolment.

The cover is the same as on an individual policy: medical expenses and repatriation as a supplement to your health insurance, luggage and business equipment, extraordinary costs where a trip is disrupted and usually a personal accident cover. The difference lies in the administration and in the basis for the premium: usually the number of travel days per year or the salary bill of the group insured, adjusted afterwards on the basis of a declaration.

A group contract has another practical advantage: one emergency assistance centre and one claims process for everyone, wherever they are. You do have to keep the group definition clean. An intern, agency worker or self-employed professional travelling with you is not automatically included. Also compare the individual version.

Where things go wrong in practice

Four points that make the difference under a group contract.

The description of the group is the cover

Is there all employees on the payroll, then hired-in workers, interns and self-employed professionals are not insured, even though they travel on your instructions. The same applies to the director-shareholder who is formally not an employee. So check the definition against your actual travelling population and adjust it after reorganisations, takeovers or a new foreign branch. An incorrect definition is the most common reason for a group policy not paying out.

You have to be able to support the basis of the premium

Insurers generally work with the number of travel days per year or with the salary bill of the group insured, with an adjustment afterwards. Keep that declaration up to date in the travel records or the booking system. If the actual number of travel days differs widely from the declaration, it is not only a premium correction that follows: it also touches the duty of disclosure in Article 7:928 of the Dutch Civil Code, with a possible reduction in payment through Article 7:930 of the Dutch Civil Code.

What is not included

Outside the cover are, among other things: travel to countries or areas subject to a negative travel advice, costs arising from pre-existing medical conditions for which treatment was foreseeable, luggage left unattended and belongings left visible in a vehicle, and loss caused by excessive use of alcohol or drugs. Likewise, high-risk sports in free time during a business trip, such as deep diving or motorised speed competitions, are usually excluded. Intent and recklessness fall under Article 7:952 of the Dutch Civil Code.

One number, and everyone has to know it

A group contract only works if the traveller actually calls the emergency assistance centre before any costs are incurred. Without prior approval, a hospital admission, repatriation and an early return are often not paid for or paid only in part. Give employees a card or an entry in the travel confirmation with the policy number and the telephone number. Also report a loss as soon as is reasonably possible. That is prescribed by Article 7:941 of the Dutch Civil Code for.

Do I have to register every trip?

No, that is precisely the difference from a short-term policy. Everyone who falls within the group definition is insured as soon as the business trip begins. You do periodically declare the number of travel days or the salary bill for the adjustment. For unusual destinations or long-term postings, prior notification is sometimes required.

Are accompanying partners and children covered?

Only where that has been expressly insured. Some insurers offer an extension for family members travelling with an employee, for example on a longer posting. Without that extension they are not insured persons and have to fall back on their own travel insurance. Ask about this in advance, because adding cover afterwards is not possible.

Does the cover apply to private extensions of a business trip?

Many policies cover a limited private extension immediately following the business trip, provided it is uninterrupted. A maximum trip duration per trip often applies as well. A trip that is essentially a holiday with a business appointment tacked on does not fall within it. Set out internally what is booked as a business trip.

What happens with a long-term secondment?

Business travel insurances generally have a maximum uninterrupted trip duration. If that is exceeded, expatriate cover is needed, with its own arrangements for healthcare, liability and repatriation. So report a secondment in advance; afterwards it regularly turns out that the trip duration had already been exceeded well before the date of the loss.

Is business equipment insured as standard?

Laptops and phones usually fall under the luggage section, but with a sub-limit lower than the purchase price. Demonstration material, samples, tools and trade goods are often not treated as luggage. Anyone taking expensive equipment is better off placing it separately on electronics or equipment insurance.
