In brief

The area of cover is not a formality on these policies. Many contracts have a separate version for travel to the United States and Canada, because healthcare costs there are structurally different. If the destination lies outside the area chosen, there is no cover, not even in part. Check that before departure and not afterwards; an interim extension is generally easy to arrange, an uncovered hospital admission is not.
A second point that often goes wrong on business trips is the hire car. After damage the hire company charges an excess that is not covered by ordinary travel cover. Medical expenses and the role of health insurance
The travel policy works on top: first the health insurance, then the excess. That means you have to send the policy numbers of both insurances along on the trip. Costs for dental treatment, continuation of ongoing treatment and non-urgent care are generally limited or excluded. Pregnancy after a certain number of weeks is also a standard restriction.
The emergency assistance centre is a condition, not a service
For a hospital admission, repatriation or a replacement vehicle, approval has to be sought in advance. If the traveller does not do so, payment can be limited to what the centre itself would have arranged. Include the number in the travel confirmation and instruct employees to call first and only then sign at a foreign hospital, which often requires payment or a guarantee in advance.
What does not fall under luggage
Trade goods, samples intended for sale, tools for operational work and hired equipment fall outside the luggage section. The loss of details is not property damage and is not paid for. Only the medium itself is insured. If a laptop with client data is stolen, that is also a data breach and a matter for a cyber insurance.
Local transport and motorised risks
Riding a motorcycle, quad bike or scooter without the required licence is a standard exclusion, as is taking part in speed events. Likewise, dangerous sports and activities outside the purpose of the trip remain outside the cover unless expressly insured. Include this in the travel policy, because these are situations employees themselves rarely regard as risky.

Why is a separate version needed for the United States?
The cost of medical care in the United States and Canada differs so widely that insurers rate those destinations separately. Cover for 'worldwide' sometimes excludes those countries. If the destination is not within the area chosen, there is no cover for medical expenses or repatriation, and it is precisely there that the amounts are highest.
What if a trip is cancelled by the client?
Cancellation is a separate section and also has an exhaustive list of covered causes, usually illness, an accident or a death in the immediate circle. A business reason such as a cancelled appointment, a postponed trade fair or a withdrawn assignment is usually not among them. Without a cancellation module the costs remain entirely at your expense.
Is the cover valid if the traveller already knew of a complaint?
Costs arising from a condition for which treatment was already under way, expected or planned at the time of departure are generally excluded. That applies too where a doctor had advised against travelling. When applying, the duty of disclosure in Article 7:928 of the Dutch Civil Code applies. An incomplete statement can have consequences for payment under Article 7:930 DCC.
Does the policy pay out for an accident causing permanent injury?
Only if a personal accident section has been included. That pays an amount agreed in advance in the event of death or permanent disability and takes no account of loss of income. Illness falls outside it, because it does not arise from a sudden external cause. For long-term absence there is a disability insurance the appropriate route.
