In brief

For an SME with a few trips a year there are two routes: taking out short-term cover for each trip, or one continuous contract that is in place all year. The covers are comparable in both cases. What differs is the way the price is built up and the administration.

Short-term cover is charged per travel day and is cheap where there are few trips, but calls for an action every time. That is precisely where the risk lies: the trip that gets forgotten in the rush is statistically just as likely to be the trip on which something goes wrong. A continuous contract costs a fixed annual premium and does away with that action.

The tipping point lies in the total number of travel days for your whole company added together, not per person. If three colleagues each travel for a few days, that adds up. We work through both versions with the rates of the insurers we compare; see also the continuous form and the group form.

What does your premium depend on?

  • Total number of travel days per year. All travel days of all employees added together, not the number of trips.
  • Spread across people. One frequent traveller is rated differently from five colleagues who each go away once.
  • Number of separate trips with short-term cover. With a short-term form every individual booking counts, including a one-night trip.
  • Do the owner and the director-shareholder travel too. Directors without a contract of employment do not always fall within a standard definition and have to be included separately.
  • Sections chosen. Medical and assistance only, or luggage and cancellation as well.
  • Destinations of most trips. Neighbouring countries within Europe are rated differently from an annual trip outside Europe.

Where things go wrong in practice

Four points that make the difference between a policy that pays out and one that does not.

Add up travel days at company level

Entrepreneurs often count per person and then arrive at a low figure. The premium of a continuous contract, however, depends on the total. Set out once how many days everyone together spent outside the Netherlands, including the directors and including short one-night trips. That figure, and not the feeling that you travel little, determines which form works out cheaper.

The forgotten enrolment is the real SME risk

With short-term cover somebody has to arrange every trip. In a small company that is often the same person who does the quotes and the planning. If a trip goes ahead at the last minute, it slips through. A continuous or group contract removes that action. Weigh that up: the premium saving from short-term cover evaporates with one uninsured trip involving a hospital admission.

Growth changes the arithmetic quickly

If you take on a second account manager or gain a foreign customer, the number of travel days doubles without your experiencing that as a change. So assess the form each year at renewal rather than only when taking out cover. A contract that was well judged three years ago may now have become the most expensive version.

What you do not get in either form

Neither form of contract covers: cancellation of the trip, unless you insure that section separately; damage to trade stock or exhibition material travelling with you; and liability for damage you cause at a client's premises. A stay exceeding the maximum uninterrupted trip duration also falls outside it, whether you have chosen short-term or continuous cover.

This is what people ask us most.

When do I switch from short-term to continuous cover?

As soon as the combined number of travel days for your whole company becomes so high that the individual premiums together approach the annual premium. That point differs from insurer to insurer, so have it calculated rather than estimating it. If you also weigh in the chance that a trip is not reported, the tipping point moves forward.

I only travel once a year, is insurance necessary then?

The frequency says nothing about the size of the loss. One hospital admission with medically supervised transport back to the Netherlands is, for a small company, an amount that affects a whole year's result. Short-term cover for that one trip is the cheapest way to cover it.

Can I use one policy for myself and my staff?

Yes, provided the definition on the policy schedule covers both. Note that a director-shareholder or partner without a contract of employment does not fall within a definition such as employees on the payroll. Have the group worded so that directors, partners and staff are all included, otherwise a gap arises precisely where you are.

Does a day of travel within the Netherlands count?

For the premium usually not: most policies count days outside the Netherlands. For the cover sometimes yes, because it often starts as soon as you leave your business address. An accident on the way to the airport can therefore be covered without that day counting as a travel day in the premium calculation.
