Luggage on a business trip

The luggage section pays for items at market value and with sub-limits. With business items the loss is almost always higher than that limit.

In brief

Luggage is the section with the most small print. There is a sum insured for the section as a whole, below that a sub-limit for equipment such as laptops, phones and measuring instruments, often a separate limit per item as well, and on top of that an excess per event. What you are paid is the market value, not what a replacement device costs new.

Business luggage differs from holiday luggage on two points. It often contains expensive or irreplaceable contents (samples, prototypes, demonstration material, files) and those contents by no means always fall within the definition of luggage. And the details on a stolen laptop are never paid for. Only the hardware counts.

Where the loss occurs through an airline, the carrier is the first party to approach. Report it before you leave the airport and keep the written notification. Where it concerns stand construction or demonstration equipment, see trade fairs and conferences; those items do not belong in this section.

This overview is general in nature and is not personal advice. What is actually covered, including exclusions, limits and the excess, is set out in the policy conditions and the insurance card (verzekeringskaart) of the insurer; you receive both before you take out cover. What does your premium depend on?

  • Sum insured for the luggage section. The total you want to be able to claim per event for all the items you take with you.
  • Level of the sub-limit for equipment. A raised limit for laptops and instruments is the most expensive dial on this section.
  • Excess per event. Luggage is a section with many small claims. The excess therefore weighs heavily.
  • Items declared separately. Instruments you have recorded by name and serial number are rated separately.
  • Insuring samples and demonstration material. Trade goods fall outside the standard definition and call for an addition.
  • Destination and mode of travel. Many transfers and travel by train or coach produce a different claims pattern from one direct flight.

Insurers weigh these details differently. That is where your saving is.

Where things go wrong in practice

Four points that make the difference between a policy that pays out and one that does not.

Sub-limits and market value

Above the sum insured for the section there is a lower limit for equipment, and within it sometimes a limit per item. Payment is on the basis of market value: age and wear are taken into account. A three-year-old laptop therefore produces a fraction of the replacement price. If you want more, you have to declare the equipment separately in advance with the make, type, serial number and purchase invoice.

Leaving items unattended is the most frequently used ground for refusal

Almost all policies exclude theft of items left unattended outside a properly locked space. A bag in a car, including in the boot, generally comes under that. The same applies to valuables in hold luggage: laptops, phones, jewellery and documents belong in hand luggage, otherwise cover lapses in the event of loss or damage.

The carrier is the first port of call

With missing or damaged hold luggage you have to notify the airline before you leave the airport, and keep the proof of that. Under international transport conventions the carrier has a liability of its own. What it pays is deducted from your payment: Article 7:960 of the Dutch Civil Code does not permit payment above the actual loss.

What never falls under luggage

Outside the cover are: data and software on a stolen or damaged device, cash above a small amount and payment cards, and trade stock, samples or demonstration material unless separately insured. Damage from normal wear, inherent defect or inadequate packing is not paid for either, and damage to fragile items in hold luggage almost never is.

Frequently asked questions

This is what people ask us most.

Will I be paid the new price of my laptop?

Generally not. The luggage section pays on the basis of market value, with age and use taken into account, and a sub-limit for equipment applies as well. If you want to get closer to the replacement value, have the device declared separately in advance with its serial number and purchase invoice, or insure the equipment on separate electronics cover.

Is the data on my stolen laptop insured?

No. Travel insurances pay only for the item itself, not for the information on it and not for the cost of reconstructing it. Make sure you have an up-to-date backup and encryption. Where personal data is involved, a theft can also be a data breach that you have to report. That route runs through cyber cover, not through this section.

My case went missing on the flight; who pays?

The airline first. Report the loss before you leave the arrivals hall and ask for written confirmation. The carrier has a liability of its own with its own maximum. What it pays is deducted from your insurance payment, because under Article 7:960 of the Dutch Civil Code you never receive more than the actual loss.

Is theft from a car covered?

Almost never for equipment and valuables. Most conditions require that valuable items are not left unattended in a vehicle, not even in a locked boot. For ordinary luggage limited cover sometimes applies where there is damage from forced entry to the vehicle, provided you report it to the police and can show the signs of forced entry.
