In brief

Cancellation cover works with an exhaustive list of covered causes. Those causes are almost always personal to the driver: serious illness, an accident or the death of the traveller or of someone in the defined immediate circle, a medically necessary procedure, or involuntary unemployment. If the reason is not in that list, there is no payment, however large the loss.

For business travel that means an uncomfortable outcome: a trade fair that is called off, a client who withdraws the appointment or an order that is postponed are not insured events but entrepreneurial risk. Some insurers offer an extension for business cancellation. If you often book non-refundable tickets far in advance, ask about it explicitly.

The section also covers curtailment of a trip: if the traveller goes home halfway through for a covered reason, the unused travel days qualify. For the material side of a cancelled event, see trade fairs and conferences.

What does your premium depend on?

  • Level of the insured travel sum. The premium depends on the amount you want to be able to reclaim per trip or per year.
  • Individual or continuous cancellation cover. Taking out cover per trip is rated differently from an annual section for all bookings.
  • Extension for business cancellation. Cover for a cancelled event or a withdrawn assignment is an expensive addition, where the insurer offers it at all.
  • Type of bookings. Non-refundable tickets and prepaid stand rental increase the interest to be insured.
  • Booking horizon. Booking far in advance lengthens the period in which something can get in the way.
  • Size of the immediate circle. The more widely the family circle is defined in the conditions, the more covered causes there are.

Where things go wrong in practice

Four points that make the difference between a policy that pays out and one that does not.

The moment of booking determines the cover

Cancellation cover has to start before or at the latest on the day of booking. If you only take out the section after buying the tickets, the trip already booked falls outside it in general. On a continuous policy with a cancellation section the cover applies to trips you book during the contract period. With every new booking, check whether the section was already running at that moment.

Business reasons are not an insured event

A cancelled trade fair, a client who calls off, a project that is postponed or a colleague who turns out to be indispensable at the office: none of these appears in the standard list of covered causes. This is business risk. If you do want to cover it, an extension for business cancellation is needed, and not every insurer offers one. Have it recorded exactly what wording that extension uses.

Ask for a refund first, then claim

The insurer only pays what you are actually out of pocket. So first ask the airline, the hotel and the organiser for a refund, and keep their written refusal. If you get part back or a voucher, that is deducted. This follows from the principle of Article 7:960 of the Dutch Civil Code: insurance puts you back in the same position, not a better one.

What the cancellation section never covers

Outside the cover are: cancellation because of a condition that was already known at the time of booking and was not disclosed, as referred to in Article 7:928 of the Dutch Civil Code; fear or unwillingness to travel, including where there is unrest at the destination; and a cancelled event or a withdrawn assignment. Penalties and rebooking costs you incur voluntarily without a covered cause also remain at your own expense.

Frequently asked questions

This is what people ask us most.

My client cancelled; will I be paid for the tickets?

Not under the standard cover. A cancellation by a business contact or the postponement of an assignment is entrepreneurial risk and is not in the list of covered reasons for cancellation. Only with a specific extension for business cancellation does this qualify. Ask about it when you apply and have its wording confirmed in writing.

Up to when can I take out cancellation cover?

At the latest on the day you book, and with many insurers within a short period after that. If you take it out later, the trip already booked falls outside the cover. With a continuous cancellation section that problem does not arise, as long as the section was running at the time of booking.

I fell ill but have a known condition; will that be paid for?

Only if you disclosed that condition when applying and the insurer accepted it. Concealing it falls under Article 7:928 of the Dutch Civil Code and gives the insurer scope under Article 7:930 DCC to reduce or refuse payment. So always disclose an existing condition, even where you expect it to play no part.

What if I have to cut the trip short?

Curtailment cover then comes into play, which is in the same section. If you go home early for a covered reason, for example serious illness in the immediate circle, the unused travel days are paid for pro rata. Report this through the emergency assistance centre before you buy a new ticket.
