Insuring a collection: series clause and additions

A collection is worth more than the sum of its individual pieces, and that changes what has to be paid when one item is damaged.

In brief

With coins, stamps, models, books or memorabilia the value hangs on completeness. If one part of a series is missing after a loss, the value of the whole falls further than the value of that one piece. Insurers deal with that through a series or pair clause, and whether it is on your policy is something to check in advance.

The second characteristic is movement: a collection grows. Every new piece that has not been declared is in principle not insured. Some policies have an additions provision for that with an agreed margin, together with an obligation to declare periodically what has been added.

For collections kept partly away from your home, or lent out for an exhibition or fair, a separate arrangement is needed. See also valuables insurance.

This overview is general in nature and is not personal advice. What is actually covered, including exclusions, limits and the excess, is set out in the policy conditions and the insurance card (verzekeringskaart) of the insurer; you receive both before you take out cover. Taking out cover without advice? Then read what execution only means for you.

Where things go wrong in practice

Four points that make the difference between a policy that pays out and one that does not.

The series clause determines what you get back

Without an additional provision the insurer pays the value of the damaged or stolen item, and not the fall in value of the rest of the series. With complete series that difference is large. So ask expressly for a series or pair clause stating that the loss in value of the whole is taken into account. If it is not there, that loss remains entirely at your expense.

New acquisitions are only covered once declared

A collection that grows outgrows its sum insured. Most policies cover only what has been declared; a few have an additions arrangement with a percentage above the sum insured, provided you report within an agreed period. So keep a running inventory list with the date of purchase, provenance and price, and send it in periodically. That prevents your newest acquisition from being the only uninsured one.

Exhibiting and lending falls outside the standard cover

If part of the collection goes to a fair, a museum or a society, the risk is at an address that is not on your policy, and there is transport in between. Standard conditions limit the cover to the home. Have a temporary stay elsewhere and transport included separately and set out in writing who is liable for damage during the exhibition.

What is never included: deterioration you can see coming

Fading from light, rust on coins, mould on paper, woodworm and vermin are excluded: they are not sudden events but storage conditions. The same applies to damage arising during restoration or cleaning. What you can influence, the insurer treats as your responsibility; so invest in climate, light and acid-free storage before you raise the sum insured.

What does your premium depend on?

  • Total valued amount of the collection — The established value of the whole forms the basis of calculation.
  • Type of collectors' items — Paper, metal, art and memorabilia each have their own damage and theft profile.
  • Series clause or not — Including the loss in value of the series raises the premium.
  • How items are kept and climate control — Display cases, acid-free storage and a conditioned room feed through into acceptance.
  • Exhibiting and lending — Taking part in fairs or loans to museums calls for an extension with transport cover.
  • Frequency of revaluation — A growing collection that is reviewed regularly runs less risk of underinsurance.

Insurers weigh these details differently. That is why comparing pays off.

Frequently asked questions

The questions we are asked most often about this.

One piece from my complete series has been stolen. What is paid?

Without an additional provision, only the value of that one piece. The fall in value of the now incomplete series then remains at your expense. With a series or pair clause that loss is taken into account. Ask expressly on the application whether that clause is on your policy; as standard it often is not.

Are new acquisitions automatically included?

Usually not. The cover applies to the sum insured declared. Some policies have an additions arrangement with a margin above that sum, on condition that you declare what you have bought within a stated period. So keep an up-to-date inventory list and send it to your adviser periodically.

My collection is going to an exhibition. Is that arranged?

Only if it is separately included. The standard cover is usually confined to your home address, while an exhibition brings risk both in transport and during the stay elsewhere. Have that arranged in advance and set out in writing who is liable during the exhibition for damage or disappearance.

Is mould or fading covered?

No. Deterioration through light, damp, rust, mould or vermin counts as a gradual effect and is excluded, as is damage during restoration or cleaning. Insurers assume that you control the storage conditions. Acid-free storage, filtered light and a stable climate are cheaper here than any cover.
